This policy explains how and why we collect, use, hold and disclose your personal information with reference to the Privacy Act 1988 (Cth) (Privacy Act) and the Australian Privacy Principles (APPs).

"We", "us" and "our" means Sentrian Pty Ltd ACN 055 047875 of 14 Railway Terrace, Milton Queensland 4064.You consent to us collecting, holding, using and disclosing your personal information in accordance with this policy.

What is personal information?

Personal information is any information or an opinion about an identified individual oran individual who can be reasonably identified from the information or opinion. Information or an opinion may be personal information regardless of whether itis true.

What personal information do we collect and hold?

We collect information about you and your interactions with us, for example:

     (a)      when you purchase or use any of our products or services, such      as support services or hosting services;

     (b)       visit or use our websites (including but not limited to:      sentrian.com.au; desktopasaservice.com.au; and      telecom.sentrian.com.au);

     (c)       register for an account with Sentrian; and/or

     (d)       call us or otherwise interact with us.

The information we collect from you may include your identity and contact details, your history of purchases and use of our products and services and details of enquiries or complaints you make.

Why do we collect, hold and use your personal information?

We collect, hold and use your personal information so that we can:

     (a)       provide you with products and services, and manage our      relationship with you;

     (b)       contact you, for example, to respond to your queries or     complaints, or if we need to tell you something important;

     (c)       comply with our legal obligations and assist government and      law enforcement agencies or regulators;

     (d)       identify and tell you about other products or services that we      think may be of interest to you;

     (e)       verify your identity;

     (f)        administer, improve and promote Sentrian services;

     (g)       notify you of new or changed services offered in relation to      Sentrian services;

     (h)       carry out marketing or training relating to Sentrian services;

     (i)        assist with the resolution oftechnical support issues or other      issues relating to Sentrian services;

     (j)        comply with laws and regulations in applicable jurisdictions;

     (k)       communicate with you; and/or

     (l)        collect, hold, use and disclose personal information as      otherwise authorised by you.

If you do not provide us with your personal information, we may not be able to provide you with our services, communicate with you or respond to your enquiries.

How do we collect your personal information?
Personal information collected from you

We will collect your personal information directly from you when ever you interact with us (including when you use a device such as a computer, laptop, tablet or mobile phone).

We may ask for and collect personal information from you when you submit web forms on our websites or as you use interactive features of the websites, including, participation in surveys, contests, promotions, events, requesting customer support, or when you otherwise communicate with us.

Personal information provided by others

In some cases, another user (such as a system administrator) may create an account on your behalf (or on behalf of an organisation you work for) and may provide your personal information (usually when your company requests that you use our products). We collect information under the direction of our customers and often have no direct relationship with the individuals whose personal data we process. If you are an employee of one of our customers and would no longer like us to process your information, please contact your employer.

If you are providing personal information about someone else, you must have the necessary consents and have made the necessary disclosures for the collection, holding, use and disclosure of their personal information as described in this privacy policy.

Other ways we collect personal information

Cookies and other tracking technologies:

     (a)       We and our authorised third party service providers use      cookies and other information gathering technologies for a variety of      purposes. These technologies may provide us with personal      information, information about devices and networks you utilise to      access our websites, and other information regarding your interactions      with our websites.

     (b)       We may partner with third party service providers to either      display advertising on our websites or to manage our advertising on      other sites. Our third party service providers may use technologies      such as cookies to gather information about your activities on our      websites and other sites in order to suggest advertisements based      upon your browsing activities and interests.

     (c)       Web beacons, tags and scripts may be used on our websites or      in email or other electronic communications we send to you. These      assist us in delivering cookies, counting visits to our websites,      understanding usage and campaign effectiveness and determining      whether an email has been opened and acted upon. We may receive      reports based on the use of these technologies by our third-party      service providers on an individual and aggregated basis.

     (d)       We may use Local Storage Objects (“LSOs”) such as HTML5 to      store content information and preferences. Various browsers may      offer their own management tools for removing HTML5 LSOs. Third      parties with whom we partner to provide certain features on our Web      sites or to display advertising based upon your web browsing activity      use LSOs such as HTML5 and Flash to collect and store information.

Logs: We gather certain information and store it in log files when you interact with Sentrian services. This information includes internet protocol (IP) addresses as well as browser type, internet service provider, URLs of referring/exit pages, operating system, date/time stamp, information you search for, locale and language preferences, identification numbers associated with your devices, your mobile carrier, and system configuration information.

Analytics: We collect analytics information when you use Sentrian services to help us improve them. We may also share anonymous data about your actions with third-party service providers of analytics services.

We may also use mobile analytics software to allow us to better understand the functionality of our mobile application on your device. This software may record information such as how often you use the mobile application, the events that occur within the mobile application, aggregated usage, performance data, and where the mobile application was downloaded from.

We obtain information from third parties and combine that with information we collect through Sentrian services. For example, we may have access to certain information from a third party social media or authentication services if you log into Sentrian services through the service or otherwise provide us with access to information from the service.

Any access that we may have to such Information from a third party social or authentication service is in accordance with the authorisation procedures determined by that service. By authorising us to connect with a third party service, you authorise us to access and store your name, email address, profile picture, and other information that the third party service makes available to us, and to use and disclose it in accordance with this privacy policy. You should check your privacy settings on these third party services to understand and change the information sent to us through these services.

How do we store and hold personal information?

We use our own hosted infrastructure on servers located in Australia to provide the Sentrian services. This means, if you use Sentrian services and are not in Australia, that your personal information will be transferred to Australia.

The Sentrian servers on which personal information is stored arekept in a controlled environment. While we take reasonable efforts to safeguardyour personal Information, no security system is impenetrable. Due to theinherent nature of the internet we cannot guarantee that information, duringtransmission through the internet or while stored on our systems or otherwisein our care, will be absolutely safe from intrusion by others, such asmalicious hackers.

In addition, we use third party providers for specific services relating to the operation of Sentrian services. Each third party provider’s role is limited to providing specific service to us relating to the operation of Sentrian services.  They are not permitted to access or use your personal information, except for the limited purpose of providing the services.

Where data is transferred over the internet as part of Sentrian services, the data is encrypted using industry standard SSL (HTTPS).

We implement and maintain processes and security measures to protect personal information which we hold from misuse, interference or loss, and from unauthorised access, modification or disclosure.

These processes and systems include:

     (a)       the use of identity and access management technologies to      control access to systems on which information is processed and      stored;

     (b)       requiring all employees to comply with internal information      security policies and keep information secure;

     (c)       requiring all employees to complete training about information      security; and

     (d)       monitoring and regularly reviewing our practise against our own      policies and against industry best practice.

In certain cases, responsibility of securing access to the data that is stored in Sentrian services rests with the customer and not Sentrian.  

We will also take reasonable steps to destroy or de-identify personal information once we no longer require it for the purposes for which it was collected or for any secondary purpose permitted under the APPs.

If your information is managed by an account administrator, that account administrator may have control with regards to how your account information is retained and deleted.

If you choose to pay for Sentrian services by credit card, your credit card details are collected and securely stored by us in an encrypted database.

Who do we disclose your personal information to, and why?

We may transfer or disclose your personal information to our related companies.

We may also disclose your personal information to others outside our group of companies:

      (a)       where we are required or authorised by law to do so (for       example, to comply with any court orders, subpoenas, or other legal       process or investigation);

     (b)       to enforce our agreements, policies and terms of service;

     (c)       to protect the security or integrity of Sentrian’s products and      services;

     (d)       to protect Sentrian, our customers or the public from harm or      illegal activities;

     (e)       to respond to an emergency which we believe in good faith      requires us to disclose information to assist in preventing the death or      serious bodily injury of any person;

     (f)        as described elsewhere in this policy;

     (g)       where you may have expressly consented to the disclosure or      the consent may be reasonably inferred from the circumstances; or

     (h)       where we are otherwise permitted to disclose the information      under the Privacy Act.

We may disclose personal information to external service providers so that they may perform services for us or on our behalf. For example we work with third party service providers that provide website, application development, hosting, maintenance, back-up, storage, virtual infrastructure, payment processing, analysis and other services to us and for us. These service providers may have access to or process your information for the purpose of providing those services for us.

If the ownership or control of all or part of our business changes, we may transfer your personal information to the new owner.

Do we disclose personal information to overseas recipients?

We may disclose your personal information to recipients which are located outside Australia. These are third party providers of specific services relating to the operation of Sentrian services.These third party service providers may store information about an organisation which may include your personal information. This information is likely to be stored on servers in Australia, the United States and possibly other regions.

Do we use your personal information for marketing?

We will use your personal information to offer you products and services we believe may interest you, but we will not do so if you tell us not to. These products and services may be offered by us, our related companies, our other business partners or our service providers.  

Where you receive electronic marketing communications from us, you may opt out of receiving further marketing communications by following the opt-out instructions provided in the communication or by or emailing us to have your contact information removed from our promotional email list or registration database.

Please note opt-out requests are usually processed within 5 business days. Even after you opt out from receiving promotional messages from us, you will continue to receive transactional messages from us regarding Sentrian services.

We do not sell your personal information.

Access to and correction of your personal information

You may access or request correction of the personal information that we hold about you by contacting us. Our contact details are set out below. Depending on the nature of your access to Sentrian products, you may also be able to make changes in your account settings. There are some circumstances in which we are not required to give you access to your personal information. You may also contact our support services to make changes. In some cases, it may be more efficient to contact your account administrator to request they modify or remove your personal information.

There is no charge for requesting access to your personal information, but we may require you to meet our reasonable costs in providing you with access (such as photocopying costs or costs for time spent on collating large amounts of material).

We will respond to your requests to accessor correct personal information in a reasonable time and will take all reasonable steps to ensure that the personal information we hold about you remains accurate, up to date, complete, relevant and not misleading.

Third party products

Please note that this privacy policy does not apply to the privacy practices of third parties as described below:

     (a)       third parties whose products or services that you may choose      to integrate with Sentrian services, such as third party add-ons,      authentication services, directory services and other integrations.      Please ensure you review the policies of such third parties to make      sure you agree with the ways in which they collect and use your      information; and

     (b)       third parties whose websites linked to or from our websites.

Complaints

If you have a complaint about the way in which we have handled any privacy issue, including your request for access or correction of your personal information, you should contact us. Our contact details are set out below.

We will consider your complaint and determine whether it requires further investigation. We will notify you of the outcome of this investigation and any subsequent internal investigation.

If you remain unsatisfied with the way in which we have handled a privacy issue, you may approach an independent advisor or contact the Office of the Australian Information Commissioner(www.oaic.gov.au) for guidance on alternative courses of action which may be available.
